    SUMMARY

    The Development Administrative Assistant serves as the central office administrator for Houston Grand Opera’s Development department, performing routine tasks that help maintain consistency and efficiency in the workplace. With an emphasis on daily process maintenance, this position plays a vital role in the daily operations of Development by assisting with all administrative needs of the department.

    DUTIES AND RESPONSIBILITIES:

    Provide administrative support to the Chief Advancement Officer and Senior Director of Development, including but not limited to:

    • Answering phones/ message handling
    • Calendar management/ scheduling
    • Record keeping/ general office maintenance

    Provide general administrative support to the Development department, including but not limited to:

    • Assisting in all communication needs:
      • Faxing, mailing, copying
      • Correspondence and memorandum assistance
      • Creating monthly staff meeting minutes
    • Gathering and submitting supply orders
    • Maintaining donor service email account
    • Managing Development calendars
    • Coordinating courier & shipping needs
    • Maintaining daily filing and system maintenance for all donor records
    • RSVP management & event preparation/assistance
    • Printing daily acknowledgement letters, weekly receipts, and monthly contribution invoices
    • Running scheduled, canned reports from database, distributing to staff as assigned
    • Processing monthly credit card expense reports for department
    • Coordinating company reservations for Library

    Assisting with special projects as assigned by Development Operations Coordinator

    QUALIFICATIONS: Bachelor’s Degree with at least 2 years of office Administrative experience; further experience in Executive Assistance a plus. Ability to work under pressure, in a fast-paced environment; high energy and strong interpersonal skills are a must. An eye for detail and quality control is imperative, as well as being able to multi-task and work on multiple projects at once.
