HSPVA Friends is a 501(c)(3) non-profit organization. Our mission is to support the needs of young artists and special projects at Houston’s High School for the Performing and Visual Arts.
Job Summary
The primary role of the Part-Time Development Office Coordinator (20-25 hours per week) is to offer administrative, database, and development support to the Executive Director in order to advance the strategic development plan of HSPVA Friends.
Essential Duties and Responsibilities
• Ensure the overall integrity of the HSPVA Friends donor database, The Raiser’s Edge
o Serve as the primary point of contact for all database issues
o Carry out complex data entries and changes (global imports)
o Design and prepare custom reports that present relevant data to Executive Director and Board
o Coordinate system updates and security with IT
o Develop standards, procedures and conventions specific to HSPVA Friends’ data needs, and ensure those procedures and policies are maintained
o Work in conjunction with the bookkeeper for monthly reconciliation of donor database and financial database
• Coordinate updates to the website, maintain the Facebook page, and oversee the creation and distribution of e-newsletters using ConstantContact
• Assist with the implementation and execution of all appeals, including direct mail campaigns, special events, and grant proposals
• Prepare timely gift acknowledgement letters and matching gift paperwork
• Provide general office administration for the Executive Director, including developing and maintaining functional filing systems and general office procedures
• Communicate effectively with vendors, donors, the HSPVA Friends Board of Directors and Advisory Board, and the faculty and staff of the High School for the Performing and Visual Arts
• Prepare and analyze prospect research for individuals, foundations and corporations
• Perform periodic errands and represent HSPVA Friends at occasional night/weekend events
• Other duties as assigned by the Executive Director
Minimum Qualifications
• Four-year college degree and experience in non-profit organizations
• Experience with The Raiser’s Edge strongly preferred and familiarity with QuickBooks is a plus
• Expert knowledge of all Microsoft Office applications, including Word, Outlook, Publisher, PowerPoint and Excel
• Proficiency in e-communication tools, social networking sites, and fundraising researching tools
• Working knowledge of fundraising best practices, trends, and strategies
• Superior attention to detail, design, spelling, grammar, guidelines, and etiquette
• Superior organizational skills and the ability to work creatively, quickly and efficiently
• Understanding of the best practices and ethics concerning non-profit organizations and public schools
• Ability to communicate complex information clearly
• Ability to work professionally and congenially in both a team setting and independently
• Ability to coordinate well with HSPVA departments and personnel
